Conference and registration hostesses in Dubai

Registration hostesses who check delegates in, hand out badges, direct people to the right hall and keep your sessions on time.

Delegates judge a conference in the first five minutes. If the registration desk is slow, the badge is missing or nobody knows where Hall B is, the day starts badly. Conference hostesses fix that. We supply registration and conference hostesses for summits, seminars, AGMs and company meetings in Dubai and Abu Dhabi.

What conference hostesses handle

  • Registration and check-in. Finding names on your list or system, printing or handing out badges and lanyards, and solving the small problems that always appear at the desk.
  • Welcome packs and material. Handing out programmes, gifts and printed material.
  • Directions. Pointing delegates to halls, breakout rooms, prayer rooms and the coffee area, and walking VIP guests to their seats.
  • Session support. Guiding guests into the hall and helping each session start on time.
  • Speaker and VIP care. Meeting speakers, taking them to the green room and making sure they are on stage when the session starts.

Registration teams for big events

A large delegation needs a planned desk, not just more people. We supply registration teams for delegations of 500 guests or more. For teams of six or more, a team leader runs the briefing, the rota and the breaks, and stays in touch with your event manager all day.

Split the desk by surname or by delegate type, keep one hostess free for problems, and open early. The first hour is the busiest.

Working with your system

Many conferences use an app, a QR code scanner or a printed list. Tell us which one you use when you book. Plan a test with your registration lead before doors open, so the first delegate is not the first time the team sees the screen.

Languages and dress code

In Dubai we supply English and Arabic speakers, with other languages on request for international delegations. The dress code is set with you: business formal, a dark suit or your branded pieces. Female and male staff are both available.

Timings

Typical shifts run 8 to 10 hours with a paid break. Half days suit a morning seminar. Multi-day summits work best with the same team every day, so the briefing is done once.

Venues

Conferences happen in hotel ballrooms, conference centres and halls at Dubai World Trade Centre and Expo City Dubai. Tell us the venue, the entrance staff should use and the time the desk must open.

For the evening programme, see VIP and gala hostesses. For a mixed team of hostesses, ushers and coordinators, see event staff in Dubai. Our briefing guide explains what to send the team before the day.
